IWAC 2023 Speaker Instructions and Whova Guides

Virtual Speaker Instructions

We are so excited to welcome you virtually this summer for the 2023 IWAC Conference! You have all been added to our event on our virtual conference app, Whova. To access your account, you can either download the mobile app or visit the web app version at https://whova.com/portal/webapp/iwac_202308/. For either method, please do the following to be added to our event page:

  • Enter the email address you used for event registration. If you use a different email, you will not have access to the event. 
  • Create a password and type in your name
  • Edit your profile. Other attendees will use this to network with you. 
  • The app will take you to your event page automatically!
  • The app and mobile browser will be how you present, so make sure that you practice before the day of the event. 

In addition to accessing Whova, we wanted to offer a few guidelines and other important information as you prepare your presentation. 

  • We strongly recommend that you use PowerPoint to create your presentation or save the presentation as a PDF if created in a different software to avoid any formatting or technology issues. 
  • Regardless of which platform you use,  we encourage you to create a presentation that meets the accessibility guidelines detailed on our website. There are several resources available to help you design a presentation that will be accessible to all attendees. 
  • We encourage you to upload your presentations to our shared Box so that people will be able to follow along on their own computers and so that our staff can help share the presentation should there be any technical issues that prevent you from doing so. If you upload your presentation and any supplemental materials to Box by May 30, we will print off a handful of copies for in person attendees who wish to have a physical copy. When uploading your presentation, please name the file as Session #, Last Name, First Name
    • Example: A.1, Smith, John
  • As a virtual presenter, you will be presenting through Zoom. Zoom is built into Whova. On the day of your presentation, you will click on a link provided underneath your session. For more information on virtual presentations, please see the attached Whova guide. 

For more information and help with accessing Whova, making best use of its resources, and editing your speaker profile, please see the below Whova guide. We are offering a few drop-in training days to allow you to get familiar with Whova and its features prior to the conference. The training will take place on the following dates (all times are in EST):

  • May 31 from 10 a.m. to 11:30 a.m.
  • June 1 from 2 p.m. to 3:30 p.m.
  • June 6 from 3:30 p.m. to 5 p.m.

For either method, please do the following to be added to our event page:

  • Enter the email address you used for event registration. If you use a different email, you will not have access to the event.

  • Edit your profile. Other attendees will use this to network with you. 
  • The app will take you to your event page automatically!

Please note that our Whova is still currently under construction and does not currently have the Zoom information for each session listed. You may receive notifications from Whova as we begin to add them, but you do not need to worry about taking any action unless we email you directly.  

In addition to accessing Whova, here are some guidelines and important information to keep in mind as you prepare your presentations:

  • We strongly recommend that you use PowerPoint to create your presentations or save the presentation as a PDF if it is created in a different software. You will not be able to use your personal computer to deliver presentations, so make sure that you have it saved in a way that is sharable. 
  • Please upload your slides to our shared Box folder once they are done. This must be done prior to your presentation so that the slides can be displayed during the conference. Slides not uploaded to Box prior to the session will not be displayed. When uploading your presentation, you must name the file as Session #, Last Name, First Name
    • Example: A.1, Smith, John
